QUOTATION
-
All quotes provided by the contractor are valid for 30 days from the date of issue.
-
The quote may need to be amended by the contractor prior to commencing work, in the event of additional work being requested, changes in conditions, or if full information was not provided beforehand.
-
Any amendments will be made before work commences and agreed upon by both the contractor and the client.
-
The client may question or have queries about the quotation prior to work, and if necessary, an amended quotation will be provided before the contractor arrives on-site.
DEPOSIT
-
A 50% deposit may be required from the client before the contractor starts the work. This will be due 5 working days prior to the agreed start date.
UTILITIES
-
It is the client’s responsibility to inform the contractor of any underground services within a 10-meter radius of the stump(s) to be ground before work commences.
-
If the client fails to provide this information and damage occurs to any services, the contractor cannot be held accountable.
-
The contractor cannot be held responsible for any services damaged.
-
If utilities are directly below the stump, we reserve the right to cancel the project at any point.
GROUND SURFACE
-
The contractor will make efforts to minimize ground damage by using boards when possible, but they cannot be held responsible for the cost of repairing any damaged ground.
-
On hard or abrasive surfaces, the contractor may leave rubber marks. They can use boards or coverings if requested by the client prior to or upon arrival. However, if marks still remain despite these measures, the contractor cannot be held accountable for any costs incurred to remove them.

Unloading and loading of equipment onto the trailer may cause point loading on the ground, resulting in slight marks or damage. The contractor cannot be held responsible for this.

It is the client’s responsibility to provide a safe area for unloading and loading.
ACCESS
-
If access through a customer’s property, including a garage, is required, it is the client’s responsibility to cover any surfaces that may become dirty or damaged.

When equipment is needed to gain access upstairs or downstairs, there is a risk of damage to stairs. The contractor will reduce this risk by using wooden ramps, but it cannot be completely eliminated.
AUTHORITY TO WORK

It is the client’s responsibility to ensure that the contractor has the right to access and work on the land. Proof of ownership of the stump in question must be provided to Hampshire Stump Grinding before any work can commence.

If work is completed on an unowned stump, the client requesting the work will bear the responsibility.

In the event that work is completed without the correct authority, the contractor is not responsible for any costs or fines incurred. This falls to the client who instructed them.

Work completing on neighbouring boundaries, we require written permission from all parties involved. It is the client’s responsibility to obtain this permission before work is carried out. If permission is not obtained, the contractor cannot be held responsible for any costs or fines after the work has been completed.
STUMP GRINDING
-
Stumps will be removed through grinding using a stump grinder.
-
Exposed roots can be removed if discussed and stated in the quote.
-
The contractor cannot guarantee the removal of all roots or root systems through grinding, which means there is a potential for the tree or hedge to regrow from anything left behind.
-
Grinding will be done to a depth of 200mm from the ground level. In cases of slopes or gradients, the depth will be measured from the lowest wheel or track nearest to the stump. This depth may be reduced if there are restrictions above or below ground.
TEETH WEAR AND DAMAGE

Standard tooth wear is included in the quoted price.

Damage resulting from hitting objects during grinding, such as metal objects, concrete, paving slabs, or debris below the ground level, is not included. The cost of replacing or sharpening damaged or excessively worn teeth, including labour, will be no more than £80.

This cost will be an additional charge passed on to the client, in addition to the quoted price.
FOREIGN OBJECTS

If a foreign object is not mentioned prior to grinding or is discovered during the process, the contractor may need to stop work and provide a revised quote to cover additional costs. In extreme cases, alternative methods may be required to complete the job, or the work may not be possible at all.
AFTER GRINDING
-
Any parts of the stump left in the ground, including the root system, will naturally decay over time. This may cause the ground level to drop or dip in the surrounding area, including the stump. The contractor cannot be held responsible for this or any costs associated with it.

Any other changes in ground conditions that occur after the completion of the work cannot be attributed to the contractor.
CHIPPINGS AND CLEANUP

Unless stated otherwise in the quote, the contractor will not remove any stump grindings, chippings, or wood.
-
Grindings will be placed in the hole after the stump has been removed, and they will be piled up but not levelled to allow for natural breakdown over time. Unless instructed otherwise by the client and agreed upon by the contractor.

While efforts will be made to leave the area tidy, it may not be possible to clear all of the chippings back into the hole.
CANCELLATION
-
The client has the right to cancel the work up to 7 days before the scheduled date.
-
If cancelled after this period, the contractor may request a partial payment for late cancellation.
INVOICE
-
Any dissatisfaction with the completed work must be raised in writing or email within 48 hours of work completion.
-
Queries regarding the invoice must be raised within 48 hours of receipt.
-
All payments are due within 7 days of receipt.
-
Failure to make payment within 7 days gives the contractor the right to halt any further work. They also reserve the right to recover all costs associated with recovering overdue payments.
-
The contractor may refuse to work until an invoice address has been provided and may request a deposit upfront if this requirement is not met.
CONDUCT
-
A copy of the contractor’s public liability insurance certificate can be provided upon request.
-
Hampshire Stump Grinding Ltd and its staff will undertake all work and tasks in accordance with good working practices and health and safety standards.

Risk assessments and method statements can be provided if required before commencing any job. A site-specific risk assessment can be conducted before starting work to identify any risks or hazards. A copy of this assessment can be provided in advance.
GDPR
-
The contractor will not share the client’s information with anyone outside of their company unless given permission to do so by the client.
-
The client’s data is used within the company to process quotes, complete tasks, and generate invoices for completed work. It may also be used to send offers or perform follow-ups to ensure full satisfaction.
-
The contractor collects the client’s data through phone, email, or face-to-face interactions. In some cases, the information may be passed on by a third party with the client’s permission.
-
The client’s data is retained on the contractor’s system for as long as deemed necessary. Invoices are kept for record-keeping purposes for a number of years.
-
The client can request that their information not be used by contacting the contractor in writing. Any data stored on their systems will be removed, except for past information kept for record-keeping purposes, which will not be used to contact the client.
-
The contractor regularly reviews the data and deletes any information that is no longer required. They strive to maintain accurate and up-to-date information, and the client can contact them to update their information.

The contractor ensures the security of the client’s data by implementing measures to prevent unauthorized access. Printed information is securely stored until no longer needed, after which it is destroyed.
-
Upon request, the contractor can provide all the information they currently hold about the client.
-
The client has the right to request the deletion or destruction of their data, unless its retention is necessary for legal purposes.
-
If requested by the client, the contractor will transfer information to another business.
-
The client can request the cessation of data usage by the contractor.
-
